Tofino Vacation Rentals, Inc. (‘TVR’)
The following general and rental policies have evolved over the 16 years of managing our company in response to rental issues and TVR’s need for efficient operations. Ultimately our rental policies are in place to ensure what we hope to be a harmonious balance between valued guests, property owners and the community of Tofino. During summer season, demand for properties is strong and TVR reserves the right, in consultation with our guests, to adjust arrival and departure days for bookings less than 7 days to ensure there are no one-night openings in between reservations.
Check-In and Check-Out
Check-in time currently begins at 5:00 pm due to enhanced Covid procedures.
You will be provided with your check-in information a week and again 1 day prior to your arrival via email and/or text.
If you’d like to request an early check-in time, please feel free to communicate so and we will make a note on your booking and we can let you know if the house happens to be ready any earlier. However, we appreciate you checking first and ask that you please do not head to the property unless communicated as we want to ensure the house is fully ready for your arrival. Generally, an early check in is not possible due to back-to-back bookings but we will try out best!
Check-out is 10:00 am. Check-out instructions will be sent to you 1 night prior to your departure via email and/or text.
One Night Bookings
Unfortunately we cannot accommodate one-night bookings. We suggest contacting resorts, hotels, motels or B&B’s for one-night accommodation requirements.
Weddings, Events and Gatherings
The properties we manage are located primarily in residential areas, therefore we do NOT allow our properties to be used as venues for events including weddings, receptions, reunions or gatherings for more people than what the properties can accommodate. This policy is in place to ensure the quiet enjoyment of neighbours, minimal wear and tear, and parking issues. Vacationing with Respect
We hope you enjoy the properties we manage, and we ask that you treat the accommodation with dignity at all times. Please respect our local culture, wildlife and local residents. Be mindful of our local bylaws, speed limits and conservation of our resources. Thank you for vacationing with respect!
Bed & Bath Linens
All properties are fully equipped with good quality bed linens and bath towels, hand towels, facecloths and bathtub and shower mats. For those properties with hot tubs, hot tub towels are provided. We do not provide beach or pet towels.
For those few properties without a washer/dryer we will provide – upon request – fresh towels for stays of 4 nights or longer.
Our properties are self-contained and have kitchens equipped with cookware, glassware, flatware and utensils, coffee maker, microwave and toaster. Most properties have outdoor BBQs and propane is provided.
Dishcloths and dishtowels are provided as well as paper towels, dish soap, dish washer detergent, and a starter supply of laundry detergent.
A starter supply of coffee, tea and sugar are included with each rental.
A starter supply of soap, toilet paper and Kleenex is included with each rental. A hairdryer is also provided.
There is no housekeeping service during your stay. Housekeeping service can be requested with sufficient notice @ $30.00 hourly per person plus taxes. TVR provides full housekeeping on departure, however we do ask that the dishwasher is loaded and turned on, and that garbage is disposed of before you check-out. For properties without dishwashers, please ensure dishes are thoroughly washed and put away before you check out.
TVR recycles! A recycling bin is provided for each property.
We accept payment via all major credit cards including VISA, Mastercard and AMEX.
Making a Reservation
At the time of reservation, a deposit of 50% of your accommodation cost and a non-refundable $20.00 Processing Fee + 5% GST will be charged to your credit card. The balance of the accommodation cost, plus 2% Municipal Tax, 8% Provincial Sales Tax and where applicable, 5% GST, and Pet Fee if applicable, will be processed 30 days prior to your arrival unless otherwise instructed by you. If you book within 30 days of your arrival the full cost of your accommodation is charged at the time of reservation.
Limitation of Liability
TVR acts as a rental agent only in respect of the accommodation provided. TVR is not the owner or occupier of the accommodation. TVR will make every effort to ensure that the accommodation is provided as described for the time reserved, or to provide alternate equivalent accommodation. TVR cannot guarantee that the accommodation will be available as reserved, as there are matters beyond its control including but not limited to loss of the accommodation by fire, flood, earthquake, tsunami, or other damage, changes of ownership, termination of management services, changes in the law, or seizure or other loss of the accommodation property. Beyond a refund of all payments made, TVR assumes no responsibility or liability arising out of the accommodation not being available or suitable. TVR assumes no responsibility or liability for injury, loss or damage arising out of the use or occupation of the accommodation.
There is a 30-day cancellation policy. If you cancel with 30 days notice or more your deposit (less a $50.00 Cancellation Fee + $20.00 non-refundable Processing Fee + 5% GST for total fees of $73.50) will be refunded to you. If you cancel with less than 30 days notice, the entire cost of accommodation is forfeited.
Quiet Hours is from 10:00 pm to 8:00 am. If we receive a noise complaint from neighbouring residents or guests arising from excessive noise, TVR may at its sole discretion charge you a $150 Noise Fine + 5% GST. TVR has a zero tolerance for any noise disturbances caused by guests. Please respect the quiet enjoyment of the neighbours and local residents!
Excessive Wear and Tear
The person making and paying for the rental of accommodation is financially responsible for the cost of repairs arising from any damage beyond normal wear and tear including but not limited to carpet/floor stains, interior wall damage, appliance repairs arising from improper use, window and window covering damage, permanent linen stains, dry cleaning costs associated with stains, breakage, theft, and any other damage noted on departure incurred, sustained or brought by any person occupying or using the accommodation.
There will be a charge of $30 + 5% GST to replace any lost keys.
Pets are welcome at pet-friendly designated accommodations as indicated on our website. For those guests bringing pets, there is a pet fee of $50 per stay plus 5% GST. Dogs are required to be on leash pursuant to the Tofino Leash Bylaw at all times when on beaches, trails, roads, etc. Guests are responsible for picking up and disposing of pet poop at all times. Pets must not be left unattended in or at the accommodation at any time during your stay! 1-2 pets are generally accepted per pet-friendly property up to an absolute maximum of 3 with request and prior approval.
If additional housekeeping is required above and beyond the normal time allotted for each accommodation, you will be charged at an hourly rate of $30 per person + 5% GST for each additional hour of housekeeping required. To avoid excessive cleaning fees please ensure that:
- the dishwasher is loaded and turned on
- any remaining dishes are thoroughly washed, dried and put away
- your garbage is disposed of and your recycling is organized
Late Departure Charge
Check-out time is 10:00 am. Any late charges resulting from an unscheduled late check-out will be charged back to your credit card.
For your health and enjoyment, all accommodations are non-smoking. A $200 + 5% GST Smoking Fine will be charged to your credit card if you smoke inside the accommodation. You may smoke outside the accommodation but are responsible for picking up and disposing of your cigarette butts.
Each accommodation has a maximum number of permitted guests, depending on the number of sleeping units as indicated on our website and as per the Tofino Bylaws. Tents, campers or trailers are not permitted. If you arrive with more than the permitted number of guests, or have more than the permitted number of guests at the accommodation at any time, TVR reserves the right to cancel your reservation and the cost of your accommodation rental will be forfeited.
Our website indicates the number of vehicles that may park at each of the accommodations. If your group has more vehicles than what the property can accommodate, you are responsible for locating additional public parking space.
If you are staying at an accommodation that has a hot tub, you agree to read and abide by The Hot Tub Commandments provided in the accommodation. The hot tub is checked on your arrival day and your departure day, and it will be checked every 2nd day during your stay. If the hot tub is required to be drained during your stay or on your departure day due to mis-use, or for any reason whereby TVR feels the cleanliness of the hot tub is not up to standard for its next check-in, you will be charged $150 + 5% GST to drain, clean and refill the hot tub. Further, you are financially responsible for any damage to the hot tub including repair and/or damaged or missing parts due to misuse as set out in The Hot Tub Commandments.
Lost & Found
TVR is not responsible for any personal items left behind on departure and will hold items for 2 weeks after departure. Items left behind will be upon request, and at the expense of the guest returned by courier.
Acceptance of Rental Terms
By proceeding with a rental of accommodation provided by TVR in its capacity as a rental agent, you are acknowledging that you have read, understood and accept the rental policies, that you agree to pay the accommodation costs and associated fees, and you agree to the limitation of TVR’s liability.
